Standard Operating Procedures — SOPs — are only useful if people actually follow them. Most business owners create SOPs that get filed away and forgotten. Here is how to build ones that stick.
Why Most SOPs Fail
They are too long. They are written in jargon. They live in a document nobody can find. And nobody was involved in creating them. If your team does not understand or trust the SOP, they will not follow it.
Keep It Simple
An SOP does not need to be a 20-page document. A well-structured checklist or a short video walkthrough can be more effective than pages of written instructions. Match the format to the task.
Involve Your Team in the Process
The people doing the work every day know the process better than anyone. Involve them in writing the SOP. They will identify steps you missed, and they will be far more likely to follow a process they helped create.
Use Visuals Where Possible
Screenshots, screen recordings, and flowcharts make SOPs much easier to follow than plain text. Tools like Loom for video, or Canva for visual workflows, can make a huge difference.
Store Them Where People Will Find Them
SOPs stored in someone's email or a random folder will never be used. Use a central tool like Notion, Google Drive, or ClickUp. Make it easy to search and access.
Review and Update Regularly
Processes change. Your SOPs should too. Set a quarterly reminder to review your key SOPs and update anything that is outdated. An outdated SOP is worse than no SOP at all.
